Privacy notice
This notice explains what On-Time Management Services Pvt. Ltd. (“On-Time”, “we”) does with personal data collected through this website, our client portal and our PC scan tools. It is written for India’s Digital Personal Data Protection Act, 2023.
Who we are
On-Time Management Services Pvt. Ltd., 47/50, Manu Market, 3rd Floor, Shanti Bhuvan, Mahatma Gandhi Road, next to Ghatkopar Kapol Wadi, Ghatkopar West, Mumbai 400086.
For anything about your data, write to info@ontimems.com.
What we collect, and why
| When | What | Why |
|---|---|---|
| You press “Send to On-Time” on a free tool | Name, company, phone, email, how you’d like to be contacted, your note, the tool’s result and its PDF report, the page you sent it from, and any campaign tag in the link you followed | To reply to you about what you asked |
| You contact us by WhatsApp, phone or email. The contact page’s form opens WhatsApp with your details filled in | Your number or address, and what you tell us | To reply to you |
| You report a problem by QR sticker or in the portal | Name, phone, the device, the problem, how urgent it is, your description, and any photo you add | To fix the problem and tell you how it’s going |
| Your company gives you a portal sign-in | Name, email, mobile, department, access level and a scrambled copy of your password (we can’t read it) | To let you sign in and see your company’s devices and tickets |
| We look after your company’s equipment under an AMC or FMS | The name of the person who uses each device and their department, and each computer’s details: name, make, model and serial numbers; processor, memory, disks and their health; monitors; operating system and updates; antivirus and security settings; network addresses; printers; installed programs; who is signed in and who ran the scan; and its RustDesk ID | To keep an accurate record of the equipment we look after, and to fix problems faster |
| You use the website or portal | Your connection’s IP address. The lead form keeps only a scrambled version; the portal keeps it for up to 7 days | To limit repeated attempts and block abuse |
The scan tools don’t read documents or any file contents, emails, browsing history, passwords, saved logins, Wi-Fi keys or product keys. They install nothing and change no settings.
The free tools (health check, planners and so on) work in your own browser. Nothing you enter leaves your device unless you press “Send to On-Time”.
Your consent: the Send form asks you to agree before we contact you.
If you work at one of our clients: your employer has asked us to look after its equipment, and that’s why your name and department may be on our record of it. Your employer’s portal admins can correct or remove these details, and you can also ask us directly.
Cookies and storage on your device
- The portal sets one cookie to keep you signed in, for up to 30 days. It isn’t used for tracking.
- The Send form remembers your details in your own browser, so you don’t retype them, and a campaign tag until you close the browser. They stay on your device.
- We don’t use analytics, advertising or tracking cookies. If that changes, we’ll update this page first.
Who sees it
- On-Time’s staff, who need it to do their work.
- Your own company’s portal admins can see their company’s people, devices and tickets. Anyone with a ticket’s private status link can see that ticket’s progress.
- Cloudflare hosts the website, the portal and the lead form, and stores their data.
- Google runs our email. The website’s fonts and the map on the contact page load from Google, which sees your IP address when they do.
- WhatsApp (Meta) handles anything you send us there.
- Our business system, on our own server at our office, which holds leads and tickets.
We don’t sell personal data, and don’t share it for others’ marketing.
Where it’s kept
Portal and lead form data is stored by Cloudflare, currently in its Asia-Pacific region. Cloudflare and Google may process data outside India.
How long we keep it
- Lead form copies are deleted from the online inbox 30 days after reaching our business system.
- IP addresses held by the portal are deleted after 7 days.
- Enquiries from people who don’t become clients are deleted after 60 days.
- Client records, equipment details, tickets and photos are kept for the length of the contract and deleted 1 year after it ends.
We keep anything longer only where the law requires it, such as invoices and tax records. Copies in our backups last until those backups are replaced.
Your rights
Under the Act you can ask us:
- for a summary of your personal data we hold, what we do with it, and who we’ve shared it with;
- to correct, complete, update or erase it;
- to stop using it, by withdrawing your consent, as easily as you gave it. We may need to keep some records where the law requires;
- to deal with a complaint;
- to let someone you nominate act for you, if you die or can’t act for yourself.
Write to info@ontimems.com, and we’ll reply within 1 week. If you’re not satisfied with our reply, you can complain to the Data Protection Board of India.
Keeping it safe
Connections to the website and portal are encrypted. Passwords are stored only in scrambled form. Each client sees only its own company’s data. No system is perfectly secure, and if a breach affects you, we’ll tell you and the Board as the law requires.
Children
Our services are for businesses, not children. We don’t knowingly collect data about anyone under 18.
Changes
